From Offer to Booked: Choosing and Booking a Carrier
Your load is unlocked, your Call-In Number and Reference Code are posted, and carriers are dialing in. The AI voice agent is capturing every offer for you. Now comes the part that actually earns your margin: turning that pile of offers into one booked carrier.
Fifth Wheel does a lot of the intake work, but it stops short of booking. It captures interest and the negotiated rate—it does not book the load or run compliance for you. You stay in control of vetting and the final handshake. This tutorial walks through exactly how to go from a full Inbound Calls table to a booked load.
Step 1: Filter to In Range and Read the Market
Open your active load in the dashboard. The Inbound Calls table lists every offer with columns for Status, MC, Phone, and Rate. Rates are color-coded so you can read them at a glance:
- Green (In Range) means the offer is at or under your Target Rate.
- Amber (Above Target) means the carrier quoted above your number.
Use the filter pills above the table—All, Live, Completed, In Range, Above Target—and tap In Range to hide everything that doesn't cover your spread. This immediately narrows the field to carriers worth calling back.
Before you commit to any single offer, glance at the KPI strip at the top of the dashboard to gauge the market:
- Best Offer shows the lowest rate you've received so far—your current floor.
- Range shows the spread between your best and worst offers, which tells you how much the market is moving on this lane.
- Carriers and Offer Rate % tell you how many unique carriers have engaged and how many calls are actually turning into offers.
A tight Range means the market has settled and your Best Offer is probably close to the real number. A wide Range means it's worth reading offers carefully—there may be room to do better. Use the Search box to pull up a specific carrier by phone, MC, carrier name, truck location, or notes if you're comparing repeat callers.
Step 2: Open Call Details Before You Commit
A low number in the Rate column is a starting point, not a decision. Click any row in the Inbound Calls table to open the Call Details side drawer, where the full context of the offer lives:
- Timestamp and caller phone, so you know how fresh the offer is.
- Offered rate and the status pills (In Range / Above Target).
- Duration of the call.
- A short Summary of what the carrier said.
- The full Transcript of the conversation.
- An audio recording player so you can hear the call yourself.
This is where you separate a solid offer from a shaky one. Read the Summary first for the quick version, then scan the Transcript for the details that matter: Did the carrier confirm their truck location and available date? Does their equipment match your load? Did they raise any caveats about the pickup window or appointment requirements? The recording is there when you want to judge tone or catch something the transcript missed. Use Copy Transcript if you want to paste the offer into your notes or a message to your team.
Comparing your top offers
It's common to have two or three In Range offers within a few dollars of each other. Open Call Details on each and compare beyond the rate: availability that fits your pickup date, truck location close to origin, and a clean, confident call usually beat a marginally cheaper offer with question marks attached.
Step 3: Run Your Own Vetting Off the MC Number
This is the step Fifth Wheel deliberately leaves to you. The AI captures the carrier's MC number, name, and phone on every call—but it does not run compliance or vetting. That's your job, and it's a job you don't want to skip.
Take the captured MC number from the Call Details drawer and run it through your own process:
- Verify the carrier's authority and operating status.
- Check insurance coverage and confirm it's active and adequate for the load.
- Review safety scores and any recent history through the tools your brokerage already uses.
- Confirm the carrier name and contact details match what the AI captured on the call.
Because the MC number is already captured and sitting in the drawer, you're not chasing the carrier for it or squinting at a voicemail—you can start vetting the moment you like an offer. But the decision to clear a carrier is entirely yours. Fifth Wheel surfaces the data; you make the compliance call.
Step 4: Follow Up Directly to Book
Once a carrier passes your vetting, close the deal the way you always have. Fifth Wheel captures the rate and the interest; you're the one who books it.
Call the carrier back using the phone number from the Call Details drawer. Because you have the transcript and the recorded offer in front of you, you're negotiating from a position of strength:
- You know exactly what they quoted and when.
- You know where your Best Offer sits, so you can hold the line or push for a little better.
- You can reference other In Range offers honestly—"I've got a truck at this number, can you match it?"—because they're real, sitting right there in your table.
Send your rate confirmation and paperwork through your normal booking workflow. Fifth Wheel's job ends at capturing the offer; the booking, the paperwork, and the relationship stay in your hands.
Step 5: Manage the 20-Call Limit and Archive
Every load includes 20 inbound carrier calls, and the call-usage progress bar (for example, 7 / 20) plus the Left KPI show how many you have remaining. Managing that budget is part of booking well.
When to book vs. wait
There's no need to burn all 20 calls if you already have what you need. Use this rule of thumb:
- Book now when you have a strong In Range offer, the carrier vets clean, and your Range has tightened—more calls are unlikely to beat what you're holding.
- Wait for more offers when your best offer is still Above Target, the market Range is wide, or you have plenty of calls left and time before pickup.
Watch the Left count as you go. If you're down to your last few calls and still don't love your options, it may be time to lock in the best In Range offer you have rather than gamble on a better one that never comes.
Archive and move to your next load
Fifth Wheel keeps you focused on one active load at a time. Once you've booked a carrier, archive the load from the loads sidebar. It moves into your archived loads for reference, and your account is cleared to Create Load for the next lane. Archived loads stay available in the sidebar whenever you want to look back at what a lane paid or which carriers quoted competitively.

You filter to In Range, read the Call Details, vet the carrier off the captured MC number, and close the deal directly.
